Before you run a batch
Answers before you run your next batch.
Answers about matching, backups, Free, Pro, rollback, and common replacement questions.
Common questions
What does it actually do?
You give it a folder of new files. It works out which file on your site each one replaces, shows you what it matched, and swaps them over — keeping a backup of everything it touches and leaving every link pointing where it should.
It works with PDF, DOC and DOCX files.
Does uploading change my site straight away?
No. Uploading puts the files in a workspace of their own. Nothing on your live site changes until you look at the matches and approve them.
What if it puts a file in the wrong place?
It tells you how sure it is about every file, and anything it is not confident about waits for you. You can send a file somewhere else, skip it, or edit the filename before anything happens.
And if something does go wrong after the fact, you can undo it — see below.
Can I undo a replacement?
Yes. Every replacement keeps a backup of the original, and you can put back a single file without restoring your whole site from last night.
That is not a reason to skip your normal backups. It covers the file replacement, not your database or the rest of your site.
What happens if two pages use the same file?
It notices, and holds that replacement back rather than quietly changing a page you were not looking at. You decide what to do about it.
What about files that are completely new?
They are added and attached in the same run. You do not need a separate process for the ones that have no older version to replace.
Will my links still work afterwards?
Yes — that is the point. It swaps the file underneath, so the page, the link and anything else pointing at it keep working. Nobody has to update a URL.
How much does it cost?
The free plugin does the whole job and costs nothing, with no file limits and no trial period.
Pro is an annual subscription, priced by how many sites you use it on — one, five or fifty. Every plan includes every Pro feature.
When is Pro worth paying for?
When the job comes back. If you are explaining the same abbreviations and ignoring the same useless filename words every term, Pro remembers them so you only do it once.
And when your files are attached through ACF fields, or they are WooCommerce product photos, gallery images or the files customers download after paying. A normal bulk tool does not look in those places.
What does Pro remember?
The matches you correct, the abbreviations you explain, and the filename words you tell it to ignore. It all belongs to that site, so whoever runs the next batch starts where you finished.
Does it work with ACF?
Yes, with Pro. Your file, image and gallery fields are listed by name when you set up a batch, including the ones inside repeater rows. It swaps what the field points at and leaves your field setup alone.
Does it work with WooCommerce?
Yes, with Pro. Product photos, any position in a gallery, and the files customers download after paying — on variations as well as the main product.
It matches on the SKU, so it never has to guess which product a file belongs to. Your gallery order stays put and nobody’s past purchase breaks.
Does it use AI?
Not the free plugin, and not Pro’s matching: they use the filenames and what you have taught them, and nothing is sent anywhere. The optional AI Assistant, API and MCP add-on is the exception: it sends your messages, file names and plan details (never file contents) to the AI provider you choose.
Can I cancel?
Yes, any time. Cancelling stops the next renewal — it does not end the year you have already paid for, and Pro keeps working until that date.
Payments are not refundable. If a term ends without renewing, the Pro features switch off, the free plugin carries on, and nothing on your site is deleted.
Need more than 50 sites?
Yes, that is fine. Get in touch and we will set it up for you.
Can it combine PDFs?
Sometimes, depending on what your host supports. It always uses the best method available and tells you which one — including when the only option would flatten your text into an image. It is optional, and nothing else depends on it.
What do I need to run it?
WordPress 6.0 or later and PHP 7.4 or later. Nothing else.
Do I need an add-on?
Most sites don’t. Free and Pro cover the complete replacement workflow, including backups and rollback. Add-ons are for WordPress networks, cloud storage, managed hosting platforms and AI-agent automation, and each requires Pro.
Do add-ons raise my Pro site count?
No. Add-on sites are a subset of your Pro sites. Buying an add-on never adds Pro sites.
What if Pro lapses?
Add-ons stop for new work. Your files, backups and rollback stay available.
Does Enterprise Storage work with WordPress VIP and Altis?
Enterprise Storage is built for platforms such as WordPress VIP and Altis, where your host holds the storage credentials. It is free during the Beta. Other managed hosts: ask us.
Is Private Local Storage an add-on?
No. Keeping backups unreachable from the web on your own server is part of Free.
Do I need an AI account?
Yes. The Assistant uses your own key from an AI provider, and the provider bills you directly for what you use. WP Bulk Replace doesn’t charge per message. The Assistant has its own usage limits. The setup guide lists the providers.
Can I try the AI Assistant before buying the add-on?
Yes. Every active Pro licence includes 25 free messages to try it, counted across the licence. After that, continued use needs the AI Assistant, API and MCP add-on. Your settings, reports, backups and rollback stay available, and nothing you already did is lost.
